Refund & Cancellation Policy

1. General Cancellation Guarantee

ScholarVault is committed to ethical conference stewardship. In the event of summit cancellation or rescheduling by the organizers due to force majeure or unforeseen technical emergencies, all registered delegates will be offered an immediate 100% full refund of registration fees.

2. Delegate Withdrawal Refund Windows

If a registered delegate or author is unable to attend, the following refund schedule applies based on the date of written notice:

• Greater than 30 days prior to Summit (Before 15 Dec 2026): 100% refund (less 5% administrative payment gateway processing fee).
• 15 to 30 days prior to Summit (16 Dec 2026 – 31 Dec 2026): 50% refund of registration fee.
• Less than 15 days prior to Summit (After 31 Dec 2026): Non-refundable due to finalized physical venue catering, delegate kit procurement, and proceedings indexation commitments.

3. Hybrid Mode Transitions

Registered In-Person delegates who experience travel disruptions, visa delays, or health issues may transition to Global Virtual attendance up to 7 calendar days prior to the summit. The difference between the In-Person fee and Virtual fee will be refunded back to the original payment method.

4. Delegate Substitution Policy

If a primary author or founder cannot attend, a designated co-author or co-founder may be nominated as a substitute presenter at zero additional charge up to 48 hours prior to the summit commencement.

5. Refund Claim Procedure

All refund requests and substitution notifications must be submitted in writing via email to conferences@scholarvault.in quoting your Registration Reference ID. Approved refunds are processed within 5–7 working days.
